This Privacy Policy explains how Clario AI LLC, a Wyoming limited liability company (“Clario,” “we,” “us,” or “our”), collects, uses, and shares information when you use our website, applications, and related services (collectively, the “Service”). By using the Service, you agree to the collection and use of information as described here. This Policy should be read together with our Terms of Use.

1. Information We Collect

Account information. When you sign in with Google, we receive your name, email address, and profile information from Google.

Email data. When you connect a Gmail account, you grant the Service permission to read your inbox and email metadata, send messages on your behalf when you explicitly choose to send them, and organize messages where a feature uses that capability. We may access sender and recipient addresses, subjects, timestamps, message bodies, thread identifiers, snippets, labels, and read status only as needed to provide the features you use, such as categorization, summarization, search, drafting, and sending.

Usage data. We record which features you use and metadata about each AI request, such as the provider, model, action, and token counts, to operate the Service, monitor usage and cost, maintain reliability, and improve the Service. Usage records do not include the content of your emails.

Embeddings. If enabled, we create numerical representations of limited thread information, such as a subject and snippet, to rank search results and classify related threads. These embeddings are stored on our servers with your account record and are not intended to be readable email content.

Local device storage. Drafts, summaries, search results, and cached thread information may be stored in your browser’s local storage on your device so the Service feels fast. This browser cache is controlled by your device and can be removed by clearing the site’s browser data.

2. How We Use Information

We use the information described above to:

  • Provide the Service, including AI-generated categorization, summaries, search answers, and draft replies;
  • Authenticate you and maintain your session;
  • Send messages only when you choose to send an approved draft or reply;
  • Organize or update Gmail messages when you use a feature that performs that action;
  • Monitor, maintain, and improve the reliability and performance of the Service;
  • Detect, prevent, and address fraud, abuse, or security issues;
  • Comply with legal obligations.

We do not sell your data, use Gmail data for advertising, or use your email content to train AI models, ours or anyone else’s. We do not allow people to read your email content except when necessary for security, legal compliance, or when you give us specific permission to do so.

3. How Information Is Shared

We share information only with the following categories of service providers, solely to operate the Service, and under obligations that restrict them from using your information for any other purpose:

  • Google — to authenticate you and to read and send email on your behalf via the Gmail API;
  • Anthropic — to process email content and generate AI categorization, summaries, search answers, and drafts. Email content is sent to Anthropic only to provide these user-facing features and is not used to train its models for Clario;
  • Voyage AI — optionally, to generate embeddings from limited thread information so we can rank relevant email threads before they are sent to Anthropic;
  • Our database and infrastructure providers — to host account records and usage data described in Section 1.

These providers may process information only as necessary to provide or secure the Service and under obligations that restrict unrelated use. We do not sell or share Gmail data with advertisers, data brokers, or other third parties for their own purposes. We may also disclose information if required by law, or to protect the rights, property, or safety of Clario, our users, or others.

4. Data Storage and Retention

Account records, such as your email address and usage metadata, are retained for as long as your account is active and for as long as reasonably necessary for legitimate operational, legal, security, and accounting purposes. Email content is retrieved from Gmail when needed to provide a feature and is not intended to be permanently stored as email content on our servers. Drafts, summaries, search results, and cached thread information may remain in your browser’s local storage until you clear it. We retain numerical thread embeddings on our servers to power search ranking and classification; these embeddings do not contain the underlying email text, but they remain associated with your account until we delete them as part of a deletion request or other applicable retention process.

You may stop Gmail access at any time by revoking Clario’s access from your Google Account permissions page. To request deletion of account-associated records, including usage records and embeddings, contact us using the details below. Revoking Google access does not itself clear your browser’s local cache; clear the Clario site data in your browser to remove locally cached content.

5. Google User Data

Clario’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We access Gmail data only to provide user-facing features within the Service. We do not use Gmail data for advertising or for training AI models, and we do not allow humans to read it except as necessary for security, legal compliance, or with your specific consent.

6. Your Rights and Choices

Depending on where you live, you may have rights to access, correct, export, or delete your personal information, or to object to or restrict certain processing. You can exercise most of these rights directly: revoke Gmail access at any time from your Google Account, or contact us using the details below to request access to or deletion of your data.

7. Children's Privacy

The Service is not directed to children under 16, and we do not knowingly collect information from them. If you believe a child has provided us with personal information, please contact us and we will delete it.

8. International Data Transfers

We and our service providers may process information in countries other than your own. Where required, we rely on appropriate safeguards, such as standard contractual clauses, to protect information transferred internationally.

9. Security

We use reasonable technical and organizational measures designed to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will provide reasonable notice, such as by updating the “Last updated” date above or notifying you directly. Continued use of the Service after changes take effect constitutes acceptance of the revised Policy.
